All bookings require a minimum deposit per person* at the time of reservation to be confirmed and processed. Deposits can be made through PayPal, which will incur a 5.5% PayPal merchant fee paid by the traveler or by Western Union (transfer fees may apply). All deposits are fully non-refundable and non-transferable. In the event that you need to cancel your trip, cancellation fees will be assessed as outlined below under Cancellation Policy. It is not possible to transfer your deposit to another person’s trek if cancelling, the new traveller will need to send in their own deposit.
Final payments are due at least (03) three days before your tour begins with Elemental Experiences. Failure to do so will result in the cancellation of your service. This is normally paid directly in our office, but can be paid in advance by PayPal with a 5.5% fee. In the office we accept both US and Peruvian currency, any denomination but NO torn bills.

All provided passenger information must be as it appears on passenger’s passport. Typos or input errors on behalf of passengers are not Elemental Experiences responsibility.
Incomplete bookings (missing one or some of the required fields) will not be processed.
A scanned copy of passport must be sent at the time of booking to be eligible for Machu Picchu entrance child discount.

In the event of passport information renewal , a (01) one scanned copy of the old passport and a (01) one scanned copy of the new passport will be required. All information will be treated as confidential and will be used solely for the purpose of modification of information at the Ministry of Culture.
All group bookings must be made as one reservation (one booking form). In the event of additional members at later dates, the passenger will be responsible for clearly indicating the GROUP’s TREK/TOUR, TREK/TOUR DATE accordingly.
Notification of cancellation must be made in writing to AGENCY’s EMAIL. At the time we receive the cancellation, the following cancellation fees will apply.
Cancellation fees are charged to cover the many expenses that ELEMENTAL EXPERIENCES pays to set up these tours. Unfortunately, there are no exceptions but if you need a letter for your insurance company to help recover some of the cost, we would be happy to supply one.
Since the INC (government body that regulates the sale of Inca Trail permits) does not give any refund for Inca Trail permits (including passengers and camp personnel), we have a separate cancellation policy for this trek:
